Facility Booking

Manage your rooms, spaces, and equipment with the facility booking system. Prevent double-bookings and track room usage across your organization.

Room Management

Adding a Room

  1. Navigate to Facilities > Rooms.
  2. Click Add Room.
  3. Fill in:
    • Name -- e.g., "Sanctuary," "Fellowship Hall," "Room 201"
    • Description -- Details about the space
    • Capacity -- Maximum number of people
    • Amenities -- Available equipment (projector, whiteboard, sound system, kitchen access, etc.)
    • Location -- Which building or campus (if you have multiple)
  4. Click Save.

Amenities

Tag rooms with their available amenities so people booking can find the right space:

  • Audio/Visual equipment
  • Kitchen access
  • Wheelchair accessible
  • Piano/Organ
  • Whiteboard
  • Wi-Fi
  • Parking

Calendar Booking

Creating a Booking

  1. Navigate to Facilities > Bookings.
  2. Click New Booking.
  3. Select the room.
  4. Choose the date and time (start and end).
  5. Enter the purpose of the booking.
  6. Add setup and teardown time if needed (this blocks additional time before and after your event).
  7. Click Save.

Conflict Detection

FaithAdmin automatically prevents double-bookings:

  • When you attempt to book a room that is already reserved, you receive a conflict warning.
  • Setup and teardown time is included in conflict detection, so back-to-back events have adequate transition time.
  • View the room calendar to see all existing bookings before making yours.

Room Calendar View

The facility calendar shows:

  • All bookings across all rooms in a timeline view
  • Color-coded by room or event type
  • Filter by specific room, date range, or booking status

Managing Bookings

From the bookings list:

  • View upcoming and past bookings
  • Edit or cancel bookings
  • See who booked each room and for what purpose

Always add setup and teardown time to your bookings. A 15-minute buffer prevents the frustration of overlapping events.
