Workflows & Automations

Workflows let you automate repetitive tasks like sending welcome emails, following up with first-time visitors, or notifying staff when someone fills out a form.

How Workflows Work

Each workflow has a trigger (what starts it) and one or more steps (what happens). When the trigger fires, FaithAdmin executes the steps in order, respecting any delays between them.

Trigger Types

Step Types

Send EmailSends an email to the person (requires a messaging provider)

Create TaskCreates a task assigned to a staff member
Add to GroupAdds the person to a specified group
WaitPauses the workflow for a specified number of minutes, hours, or days
Notify StaffSends a notification to designated staff members

Building a Workflow

  1. Navigate to Workflows from the sidebar.
  2. Click Add Workflow.
  3. Enter a name and description.
  4. Select a trigger type.
  5. Add steps in the order you want them executed.
  6. Configure delays between steps as needed.
  7. Save the workflow (it starts as inactive).
  8. Toggle Active when ready to enable it.

Pre-Built Templates

FaithAdmin includes templates for common workflows:

  • New Member Welcome -- Sends a welcome email, creates a follow-up task, adds to newcomers group
  • First Visit Follow-Up -- Waits 2 days after first visit, sends a thank-you email, notifies pastoral staff
  • Volunteer Onboarding -- Sends info email, creates background check task, adds to volunteer group

Select a template when creating a workflow to pre-fill the trigger and steps.

Manual Trigger

For on-demand workflows, use the Manual trigger. Select one or more people from your member list and run the workflow for them.
