Terms & Subjects

Academic terms and subjects form the organizational backbone of the School module. Set these up before creating classes or assignments.

Academic Terms

Terms define the time periods for your academic year.

Creating a Term

  1. Navigate to School > Terms.
  2. Click Add Term.
  3. Fill in:
    • Name -- e.g., "Fall 2026," "First Semester," "Spring Quarter"
    • Start Date -- When the term begins
    • End Date -- When the term ends
  4. Click Save.

Common Term Structures

  • Semesters -- Two terms per year (Fall / Spring)
  • Quarters -- Four terms per year
  • Trimesters -- Three terms per year
  • Custom -- Define any period that matches your school calendar

Managing Terms

  • Only one term is typically "active" at a time
  • Past terms remain accessible for viewing historical grades and report cards
  • Classes, assignments, and report cards are all tied to a specific term

Subjects

Subjects define what your school teaches.

Creating a Subject

  1. Navigate to School > Subjects.
  2. Click Add Subject.
  3. Fill in:
    • Name -- e.g., "Arabic," "Torah Studies," "Church History," "Mathematics"
    • Code -- A short code for the subject (e.g., "AR101," "TOR," "HIST")
    • Description -- Optional description of the subject
  4. Click Save.

Grade Levels

Subjects can be associated with grade levels to indicate which level of students they serve. Common grade levels include:

  • Pre-K, Kindergarten
  • Grades 1 through 12
  • Beginner, Intermediate, Advanced
  • Adult Education

How Terms and Subjects Connect

  • Each class belongs to a term and covers a subject
  • Each assignment belongs to a class (and inherits its term and subject)
  • Report cards are generated per term, showing grades by subject

Use consistent subject codes across terms so you can track student progress in the same subject over multiple terms.
