Child Check-In
The child check-in system helps you keep children safe during services and events by tracking who is in your care and ensuring only authorized guardians pick them up.
Admin Dashboard
The check-in dashboard gives staff a real-time view of:
- Currently checked-in children -- Who is in each room right now
- Room capacity -- How many spots remain in each room
- Allergen alerts -- Children with allergies are flagged prominently
- Guardian information -- Who is authorized to pick up each child
Check-In Flow
- A parent or guardian arrives with their child.
- Staff searches for the child by name or the guardian scans in.
- Select the child and the room/class they are attending.
- A security code is generated and displayed.
- The parent receives or notes the security code.
- The child is marked as checked in.
Security Codes
Each check-in generates a unique security code that:
- Must be presented at checkout to pick up the child
- Ensures only the person who checked the child in (or an authorized guardian) can pick them up
- Is displayed on screen and can be printed as a label
Allergen Alerts
If a child has allergies recorded on their profile:
- A visual alert appears during check-in
- Room volunteers see the allergen information
- This ensures caregivers are aware of any dietary restrictions or medical needs
Room Capacity
Each room has a configurable capacity limit:
- The dashboard shows current occupancy vs. capacity
- Staff are warned when a room is approaching capacity
- This helps distribute children across available rooms
Checkout
- The guardian presents their security code.
- Staff enters the code to verify the match.
- The child is marked as checked out.
- The checkout time is recorded.

tip
Record allergies on children's profiles in advance so allergen alerts appear automatically during check-in.
