Fund Accounting

Fund accounting lets you track finances by designated purpose, ensuring donations are used as intended and giving your leadership transparency into each fund's health.

Creating Funds

  1. Navigate to Accounting > Funds.
  2. Click Add Fund.
  3. Fill in:
    • Name -- e.g., "General Fund," "Building Fund," "Missions Fund"
    • Code -- A short identifier (e.g., "GEN," "BLDG," "MISS"). Codes are automatically uppercased and must be unique.
    • Fund Type -- General, Restricted, Designated, or Endowment
    • Description -- What this fund is for
  4. Click Save.

Fund Types

TypeDescription
GeneralUnrestricted funds for day-to-day operations
RestrictedFunds designated by donors for a specific purpose
DesignatedFunds set aside by the organization for a specific use
EndowmentLong-term funds where only investment income is spent

Account Codes

Each fund has a unique code that serves as a general ledger reference. These codes are used in:

  • Donation records (which fund a gift is directed to)
  • Expense records (which fund an expense is drawn from)
  • Accounting Exports (mapped to GL codes in QuickBooks, Xero, etc.)

Budget Tracking

For each fund, you can set an annual budget:

  1. Select a fund and click Set Budget.
  2. Enter the budgeted amount for the year.
  3. FaithAdmin tracks:
    • Budgeted -- What you planned to receive
    • Received -- Actual donations to this fund
    • Remaining -- Budget minus received
    • Percentage -- How much of the budget has been fulfilled

Fund Dashboard

The funds overview shows all funds with their:

  • Total received (sum of all donations assigned to this fund)
  • Budget progress
  • Fund type and code

Create separate funds for each major giving category your organization uses. This makes year-end financial reporting and audits straightforward.
