Task Management
Tasks help your team stay organized by tracking follow-ups, to-dos, and action items across your organization.
Creating a Task
- Navigate to Tasks from the sidebar.
- Click Add Task.
- Fill in the details:
- Title -- A clear description of what needs to be done
- Description -- Additional details or context
- Assignee -- Who is responsible for completing the task
- Priority -- Low, Medium, High, or Urgent
- Due Date -- When the task should be completed
- Related Person -- Optionally link the task to a member profile (e.g., "Follow up with John Smith")
- Click Save.
Task Status Workflow
Tasks move through a standard status workflow:
- To Do -- Created but not yet started
- In Progress -- Currently being worked on
- Completed -- Finished
- Cancelled -- No longer needed
Update the status by clicking on a task and changing the status field.
Assigning Tasks
- Tasks can be assigned to any admin or staff member.
- Assignees receive a notification when a task is assigned to them.
- Tasks can be reassigned at any time.
Priority Levels
| Priority | When to Use |
|---|---|
| Low | Nice-to-do items with no time pressure |
| Medium | Standard tasks with a reasonable deadline |
| High | Important tasks that need attention soon |
| Urgent | Critical items requiring immediate action |
Filtering and Finding Tasks
The task list supports filtering by:
- Status -- View only open, completed, or cancelled tasks
- Assignee -- See tasks for a specific person
- Priority -- Focus on high-priority items
- Due Date -- Find overdue or upcoming tasks
Automated Task Creation
Tasks can be created automatically by Workflows. For example, a "First Visit Follow-Up" workflow might create a task assigned to a pastor to call a new visitor.
