Background Checks

FaithAdmin helps you manage background checks for volunteers and staff who work with children or vulnerable populations.

Initiating a Background Check

  1. Navigate to Background Checks from the sidebar (or from a member's profile).
  2. Click New Check.
  3. Select the member to be checked.
  4. Choose the provider and check type.
  5. Add any notes (reason for the check, position applied for).
  6. Click Submit.

Before initiating a check, ensure you have the member's consent:

  • FaithAdmin tracks consent status on the background check record
  • Document consent through a Custom Form or paper form
  • Maintain consent records for compliance

Status Tracking

Each background check progresses through statuses:

  • Pending -- Check has been requested, awaiting processing
  • In Progress -- Provider is processing the check
  • Clear -- No issues found
  • Flagged -- Issues found that require review
  • Expired -- Check has passed its validity period
  • Cancelled -- Check was cancelled before completion

Expiration Alerts

Background checks have a validity period. FaithAdmin alerts you when checks are expiring:

  • Checks expiring within 30 days are flagged automatically
  • The dashboard shows a count of expiring checks
  • This helps you stay proactive about renewals

Viewing and Filtering

Filter the background check list by:

  • Status (clear, flagged, expired, pending)
  • Member
  • Provider
  • Expiration date range

Set a policy for how often background checks should be renewed (e.g., every 2 years) and use the expiration alerts to stay on schedule.
